Convention Housing

Convention housing is available exclusively to TMEA members, exhibitors, and out-of-state paid attendees.

For exhibitors, a link to the TMEA official housing reservation site is included in your membership confirmation email, received after completing an exhibit contract.

Invited ensembles and their family members must seek housing reservations outside of the TMEA system. All-State student housing is coordinated directly by TMEA with the students’ director/member sponsor in January.

This year, TMEA has implemented a new process to access the hotel reservation system. The URL for the reservation system will be emailed to you in advance, and if you want to make a reservation when the system opens, you’ll need to join a digital waiting room on October 3, anytime between 5:00 a.m. and 5:59 a.m. CT, to secure your place in line. By sending the URL in advance, attendees can better prepare for the reservation day and act quickly when it opens.

TMEA members and convention registrants will receive the housing reservation link on the evening of September 30 via an email from membership@tmea.org. Make sure to keep this email handy, as you’ll need it to join the digital waiting room on October 3.

If you are not a current or recent TMEA member or registered to attend the convention, you will not receive this email.

While the countdown page will be visible before October 3, if you intend to reserve a room when the system opens, it’s crucial to follow the specific times on October 3 to ensure success. Use the TMEA link in your
September 30 email to join the digital waiting room between 5:00 a.m. and 5:59 a.m. CT on October 3rd. At 6:00 a.m., everyone in the waiting room will be randomly assigned a place in the queue. If you click the housing link at or after
6:00 a.m., you’ll be placed at the end of the line, which could reduce your chances of securing your preferred hotel.

After you’re assigned a place in the digital queue, you’ll see a page with your estimated wait time, which updates every minute. When it’s your turn, the page will automatically redirect you to the hotel reservation system. Because rooms sell so quickly, even if you get in within a few minutes after 6 a.m., you may find that several of the hotels are not available.

You can reserve up to 2 rooms at once. Be sure to have all the necessary information ready, including the number of occupants and their details, to speed up the reservation process. If you need to book more than 2 rooms on October 3, you will be returned to the end of the queue after you complete your booking.

To ensure accurate and efficient entry when you get to the reservation system, document the following in advance:

• Check-in and check-out dates
• Number of rooms you are reserving (you can reserve up to 2 rooms at once)
• Number of occupants in a room (this influences the room types available)
• Guest data for each occupant (name, email, phone, address)
• Credit card valid through February 2025.

Occupants matter: If you enter a room for 4 occupants and a hotel only has rooms with one king bed left, that hotel will not show as available.

You might reach the Guest Information page and see a message that the room you chose may have just sold out—that is not a system error. The system doesn’t hold the room you selected until you reach the Guest Information page, and with so many people reserving at once, you might see that message. Be prepared to search again.

If you’re unable to secure a room through the TMEA housing system on October 3, keep checking back! Additional rooms may become available, especially in early January as the event approaches. If no rooms match your search, the system will provide a link to alternative housing options in San Antonio. You can also search directly with area hotels or on travel and short-term rental websites.
